A systematic, structured approach is a great way to get started and with time, it will become a habit you won’t easily forget. This is where productivity systems come into the equation. They encourage individuals and teams alike to work smarter, not harder.

What are productive systems?

These systems act as a guideline or approach to help get things done quickly and more efficiently. While these systems need to be structured, they also need to be flexible and easy to adopt. So many systems exist and choosing the right one will depend on your personality and working style.

Getting Things Done (GTD)

First on our list is Getting Things Done, developed by David Allen who wrote a book of the same name. It ensures that you prioritize tasks and get things done by following 5 easy steps.

  1. Capture and record everything you need to remember.
  2. Clarify how you plan on completing these tasks. Develop a measurable action plan.
  3. Organise and prioritise your list to ensure that urgent matters are addressed first.
  4. Reflect on what has been done and make changes where necessary.
  5. Engage and start getting things done. This is where you set out to complete all the tasks that you have set out for yourself.

The Daily Trifecta

Challenges users to write down three things that they would like to get done in a day. The theory is that by getting those three things, done, the day is already a win.

The Pomodoro Technique/Time Blocking

The idea behind this is to block off time in your day where you work for 25 minutes and then take a 5-minute break. Repeat this four times and then take a 15 to 20-minute break. While this may work for some, it can also be disruptive for others, which ties in with what we said before, choosing the right system will be based on your preferences.

Bullet Journaling

This system seeks to help people organize their day while remaining mindful of why they are doing these things. There’s an entire system and language behind this, which is worth reading up on when you have some free time.

Seinfeld Calendar System

Jerry Seinfeld developed a calendar challenge. You need a giant wall calendar for this with the entire year visible. Each day you complete a task, mark the block with an X. Eventually this will form a chain, and the idea is to keep the chain going as long as possible.

Eat That Frog

This is based on a famous Mark Twain quote that suggests that by starting your day with the most difficult task so that it’s over and done with.
